Clearance

Nobody gets rostered
onto work they can't do

Tag a shift with a role or a station and only staff signed off for it can be assigned. This is enforced on the server, not hidden in a dropdown — so it holds even when someone is in a hurry.

Judged on the shift date, not today

A clearance that lapses on Thursday will not cover Saturday. Checking against today is how uncertified staff end up on a rota that looked fine when it was built.

Expiry built in

Every sign-off can carry a renewal date. Food hygiene, allergen, first aid, licences — they all lapse, and the system counts down rather than assuming.

Lapsed reads differently from untrained

Two different problems needing two different actions, so the rota says which one it is.

Scheduling

A week grid built
for a back office

Dense by design, banded by department, and readable between service rushes. Draft it, publish it, and staff see it on their phones.

Templates

Save any week and reuse it. Most rotas are last week with three changes.

Auto-fill the week

Assigns eligible staff against sign-offs, booked leave, stated availability and working-time limits — then tells you what it could not fill and why.

Open shifts and swaps

Leave cover unassigned for eligible staff to claim. Swap requests come to you with the reason attached.

Multi-site

One person working across two sites shows their true weekly hours, so cross-site over-scheduling stops being invisible.

Training

An academy that feeds
the rota directly

Training records are worth something only when they change what can happen. Here they gate assignment.

Modules and quizzes

Marked server-side, so answers never reach the browser. Modules unlock in order.

Certificates from elsewhere

Upload, a manager verifies, and the expiry date joins the same engine that gates the rota.

Renewals before they bite

Anything lapsing inside 30 days appears on the dashboard, so renewal is booked rather than discovered.

Time

Clock-in you can
actually rely on

A shared tablet kiosk with photo capture, or GPS clock-in from a phone. Buddy-punching is the oldest problem in hourly work and a PIN does not solve it.

Kiosk with photograph

Runs full-screen on a cheap tablet, dark and legible in a dim back corridor.

Late and no-show flags

Raised automatically against the published shift rather than noticed at payroll.

Working-time checks

Rest between shifts and hours in a week, checked while the rota is still a draft.

Flagged as you build the rota, not after someone has already worked it.
Cost

Labour cost while
you can still change it

Finding out on Monday that last week ran at 34% is history, not management.

Live against forecast

Set expected covers and revenue per day, and read labour percentage against your own target as you build.

Scheduled against actual

Timesheets compare what you planned with what happened, approved per period and exported for payroll.

Pay stays private

Rates live in a separate table only managers can read. A staff-facing screen cannot leak a wage.

Leave

Holiday that
adds up correctly

UK statutory accrual — 5.6 weeks, pro-rated to contracted hours — calculated rather than tracked in a spreadsheet.

Requests and balances

Staff request, managers approve, balances update.

Approved leave blocks assignment

Nobody gets rostered onto a booked holiday, because the rota checks before it lets you.

Variable hours handled

Entitlement pro-rated properly for staff who are not on a flat 40-hour week.
